Privacy Policy

This policy explains what information Headshots by Reem collects, why, and what you can do about it. It applies to headshotsbyreem.com and to the sessions we photograph.
1. Who We Are.
Headshots by Reem is the trading name of Studio Reem Photography, a portrait photography business based in Irvine, Orange County, California. Where this policy says "we" or "us", it means that business. We decide what happens to the information described here, and you can reach us at abousaif@icloud.com.
2. Information We Collect.
Information you give us. When you submit an enquiry form, request a group quote, book a session, or start a chat on our site, we collect your name, email address, and any other details you choose to provide — which may include your phone number, company or organization, the number of people to be photographed, your preferred location, and notes about what you need.
Booking and session information. When you book through our scheduling system we collect your appointment details, the answers you give to our intake questions, and your agreement to our Terms of Service.
Photographs. We create photographs of you during your session. Images of an identifiable person are personal information, and section 3 explains how we handle them.
Information collected automatically. Like most websites, ours records technical information when you visit: browser type, operating system, approximate location derived from your IP address, the pages you view, and the site you arrived from. This is used in aggregate to understand how the site is performing.
Information we do not ask for. We do not seek sensitive information such as your race, religion, health, financial account details or government identification numbers. Please do not send it to us.
3. Photographs, Metadata and Your Image.
Photographs from your session are stored in our professional archive and in the online gallery used for image selection. Photograph files also contain technical metadata created by the camera, such as the date, time and camera settings. We remove location metadata from images before publishing them.
Under our Terms of Service you grant permission for us to use images from your session in our portfolio, website, social media and other promotional materials, and you may opt out of that use by emailing abousaif@icloud.com before your session begins. Opting out does not affect our ability to deliver the images you purchase.
We do not sell your photographs to third parties and we do not license them to stock libraries. We do not run facial recognition, we do not create faceprints or facial-geometry templates from your images, and we do not use face-grouping features. A photograph on its own is not a biometric identifier under laws such as the Illinois Biometric Information Privacy Act; a facial-geometry template made from one is, and we do not create them. We also do not use client images to train artificial intelligence systems.
4. How We Use Your Information.
We use the information above to respond to your enquiry and prepare a quote; to schedule, prepare for and deliver your session; to process payment; to send you your images and the information you need before and after a session; to keep records required for tax and accounting; and to understand how our website is used so we can improve it.
If you ask to hear from us about availability, offers or new work, we will use your email address for that, and every such message includes a way to unsubscribe. We do not add you to marketing lists simply because you booked a session.
5. Text Messages.
If you give us your mobile number when booking, we may send you appointment reminders and messages about your session. These are service messages about a booking you made, not marketing. Standard message and data rates may apply, and message frequency varies. You can stop them at any time by replying STOP to a message or emailing abousaif@icloud.com. We do not send marketing texts, and we never share mobile numbers or text-message consent with third parties for their own marketing.
6. Cookies, Analytics, Chat and Do Not Track.
Our website runs on Squarespace, which sets cookies necessary for the site to function and for its built-in analytics, which tell us things like how many people visited a page. Our site also runs a live chat widget provided by Chatra; if you open it, Chatra receives the messages you send and sets its own cookies so a conversation can continue between visits. We do not run Google Analytics, and we do not use advertising, retargeting or session-replay tools.
Most browsers let you refuse or delete cookies through their settings; parts of the site may not work correctly if you do. Some browsers also send a "Do Not Track" signal. There is no agreed industry standard for how sites should respond to it, and our website does not currently respond to it. We do not track you across other websites.
7. Who We Share Information With.
We do not sell your personal information, and we do not share it for anyone else’s advertising. We share it only with the service providers who make the business run, and only so far as they need it: Squarespace, which hosts our website, forms and online store; Squarespace Scheduling (Acuity), which handles bookings, intake forms and appointment reminders; Chatra, which provides the chat widget; Adobe Fonts, which delivers the typefaces used on our pages; and our payment processors. Each handles your information under its own privacy terms and on our instructions.
We may also disclose information if the law requires it, to protect our legal rights, or as part of a sale or merger of the business — in which case we will tell you if your information becomes subject to a different privacy policy.
8. Payments.
Payments are processed by third-party payment providers. We receive confirmation that a payment succeeded and a record of what it was for. We do not receive or store your full card number.
9. Where Your Information Is Held.
We are based in California and our service providers store information in the United States. If you contact or book with us from outside the United States, your information will be transferred here, where privacy laws may differ from those in your country. By using the site or booking a session you understand that this transfer takes place.
10. How Long We Keep Information.
Enquiries and correspondence are kept while they are useful to us and then deleted. Booking and payment records are kept as long as tax and accounting rules require. Session images follow our Terms of Service: ordered images are archived for six months after the session date, and unordered images are deleted.
11. Security.
We take reasonable steps to protect the information we hold, including using established platforms with their own security programs, limiting who can access client files, and keeping our accounts protected. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
12. If There Is a Data Breach.
If personal information we hold is exposed in a way that California law requires us to report, we will notify affected people without unreasonable delay, describe what happened and what information was involved, and tell you what we are doing about it.
13. Your Choices and Your Rights.
You can ask us at any time to tell you what personal information we hold about you, to correct it, or to delete it. You can withdraw your consent to our use of your images. You can stop appointment texts, and you can unsubscribe from any email we send. To do any of these, email abousaif@icloud.com and we will respond within 30 days. We will not treat you differently, or charge you more, for exercising these rights.
California residents have rights under state privacy law to know what personal information is collected about them, to request its deletion, and not to be discriminated against for asking. We extend these rights to anyone who asks, wherever you live. We do not sell or share personal information as those terms are defined under California law, and we have not done so in the past twelve months.
14. Children.
Our website and services are not directed to children under 13, and we do not knowingly collect personal information from them. Anyone under 18 must be photographed with the written consent of a parent or legal guardian, who must remain present during the session. If you believe a child has given us personal information, email abousaif@icloud.com and we will delete it.
15. Links to Other Websites.
Our site links to other places, including our scheduling page and our social media profiles. We are not responsible for the content or privacy practices of sites we do not run, and we encourage you to read their policies.
16. Accessibility.
If you need this policy, or any information about your data, in a different format, email abousaif@icloud.com and we will provide it another way. Our accessibility statement explains more.
17. Changes to This Policy.
We review this policy at least once a year and update it when our practices change. When we do, we revise the effective date at the top of this page, and if a change materially affects how we handle your information we will say so prominently on the website. Continuing to use the site after a change means you accept the updated policy.
